Terms of Use
These Terms govern your use of Aylukha websites, software applications and services. Please read them carefully.
1. Who we are
These Terms of Use ("Terms") are entered into between you and AYLUKHA SOLUTIONS (PTY) LTD, Registration No. 2025 / 572525 / 07, located in Durban, South Africa, operating through its software division Aylukha Technologies.
In these Terms, "Aylukha", "we", "us" or "our" refers to AYLUKHA SOLUTIONS (PTY) LTD and its Aylukha Technologies division. "You" or "your" refers to the person using our websites, applications or services.

2. Scope of these Terms
These Terms govern access to and use of websites, mobile applications, dashboards, platforms, software and related services operated by Aylukha. They apply to current and future Aylukha products where these Terms are referenced.
The products covered by these Terms include:
- CONVERO — an event and participant engagement platform
- EduFlow — an education administration and school management platform
- CORE — a collaborative research and academic productivity platform
These Terms also apply to future Aylukha products and services where these Terms are incorporated by reference, unless a separate set of terms is provided for that product or service.
3. Acceptance of these Terms
By creating an account, accessing a service, using an application, accepting an invitation, joining an event, using an institution-provided account, or otherwise using an Aylukha service, you agree to these Terms.
If you do not agree to these Terms, you should not use the relevant service.
Where an institution, school, organisation, event organiser, employer, university or other customer provides access to a user, additional contractual or institutional rules may also apply to your use of the service.
4. Eligibility and accounts
When creating or maintaining an account, you must provide accurate information and keep that information up to date.
You are responsible for keeping your account credentials secure. You must not share your credentials improperly or impersonate another person.
You are responsible for activity performed through your account where it is reasonably attributable to you.
Aylukha may require email verification, identity verification, administrator approval, event membership, school membership, invitation acceptance or other access controls before an account becomes active or continues to operate.
Institutional accounts may be administered by the institution that provides them. If you believe your account has been compromised, you must notify Aylukha or the relevant institution promptly.
5. Product-specific relationships
CONVERO
Event organisers and administrators may create and manage events, attendees, content, schedules, forums, challenges, meetings, notifications and other event features within CONVERO.
Participants may interact with content and other participants according to the features enabled by the organiser.
Event organisers are responsible for the event content, programme, policies, eligibility decisions and information they publish. Aylukha provides the technology platform and does not become the organiser of an event merely because CONVERO is used.
EduFlow
Schools or educational institutions may control student, parent, teacher, staff and academic information within EduFlow.
Institutions remain responsible for the accuracy and lawful use of information they enter into EduFlow.
Some accounts, records and access permissions may be administered by the school or institution rather than directly by the individual user.
CORE
CORE assists researchers and students with research organisation, academic workflows, documents, writing and related tools.
Users remain responsible for the academic integrity, accuracy, legality, originality and appropriate citation of work they submit, publish or use.
CORE must not be represented as guaranteeing academic acceptance, research validity, publication, examination success or institutional approval.
6. Acceptable use
When using Aylukha services, you must not:
- violate applicable law
- impersonate others
- harass or threaten users
- upload unlawful, defamatory, fraudulent or abusive material
- distribute malware or malicious code
- attempt unauthorised access
- bypass security controls
- scrape or extract data without permission
- interfere with platform availability
- abuse messaging, forums, notifications or communication systems
- send spam
- upload content you do not have the right to use
- use the services to infringe privacy, confidentiality or intellectual property rights
- use automated systems in a manner that materially harms the service
- attempt to reverse engineer protected components, except where applicable law expressly permits it
7. User content
User content includes messages, forum posts, documents, photographs, profile information, academic documents, event submissions, challenge evidence, comments, files, feedback and other information submitted through Aylukha products.
You retain ownership of content you own. We do not claim ownership of your content.
You grant Aylukha a limited licence to host, store, transmit, reproduce and technically process that content only as necessary to operate, secure, support and improve the relevant service.
You must have the necessary rights to upload or share content through our services. You confirm that the content you submit does not infringe the rights of any third party.
8. Organisation and institution-controlled data
Some information is controlled by a school, university, organisation, employer, event organiser or other customer. Where that is the case, the relevant organisation may administer the records associated with your account.
Requests to alter or remove institution-controlled records may need to be directed to the relevant organisation.
Aylukha may retain or process certain records where required by law, contracts, security obligations, audits or legitimate institutional requirements.

9. Privacy
Personal information is handled according to our Privacy Policy. We encourage you to review the Privacy Policy carefully together with these Terms.
10. Account deletion
You may request deletion of your account and associated personal data using the processes described on our Account & Data Deletion page.
For CONVERO, you may initiate a deletion request from within the application or by contacting support@aylukha.com.
Deleting an account may not require immediate deletion of every record where retention is legally, contractually, operationally or institutionally required.
11. Intellectual property
Aylukha owns or licenses the software, source code, designs, trademarks, branding, documentation, interfaces and other platform intellectual property, excluding user-owned content.
You receive a limited, personal, non-exclusive, non-transferable and revocable right to use the services in accordance with these Terms.
You may not reproduce, sell, distribute or commercially exploit Aylukha software without our written permission.
12. Product names and branding
AYLUKHA, Aylukha Technologies, CONVERO, EduFlow, CORE, associated logos and product branding may be protected intellectual property of Aylukha or its licensors.
You may not use Aylukha branding without our prior written permission.
13. Third-party services
Aylukha products may use third-party infrastructure and services, including where applicable cloud hosting, authentication, communications, payment providers, artificial intelligence infrastructure, app stores and related technologies.
Where third-party services are involved, they may have their own terms and privacy policies that also apply to their services.
Providers may change over time as our architecture evolves. Service providers may include services such as Google Firebase and other approved service providers where applicable.
14. Artificial intelligence and automated features
Some Aylukha products may include artificial intelligence, machine learning or automated features.
AI-generated or AI-assisted outputs may contain inaccuracies, omissions or inappropriate suggestions. You remain responsible for reviewing and validating outputs before relying on them.
AI features must not be represented as professional legal, medical, financial or other regulated professional advice. Academic users remain responsible for complying with institutional academic integrity requirements.
Aylukha may change underlying AI providers or architectures where appropriate. User content must not be represented as being used for third-party model training unless such use is expressly disclosed and lawfully authorised.
15. Availability and service changes
Aylukha aims to provide reliable services but cannot guarantee uninterrupted or error-free availability.
Maintenance, security events, infrastructure failures, upgrades or circumstances beyond reasonable control may affect availability.
Aylukha may add, remove, modify or improve features over time. Where practical, material changes affecting paid or institutional services will be communicated appropriately.
16. Beta, preview and developing features
Aylukha may offer beta, preview, experimental or early access features. Such features may change, contain defects or be withdrawn at any time.
17. Payments and paid services
Some Aylukha products or features may require payment, subscriptions, institutional licensing or fees.
Pricing and billing terms presented at the point of purchase, or agreed contractually, form part of the applicable service terms.
Purchases made through an app store, such as the Apple App Store or Google Play, may also be subject to that store's terms.
18. Suspension and termination
Access may be restricted or suspended where reasonably necessary because of a breach of these Terms, illegal activity, fraud, security threats, misuse, institutional instruction where appropriate, non-payment for paid services, or the protection of users and systems.
Where appropriate and legally permitted, Aylukha will provide notice or an opportunity to resolve the issue before restricting access.
You may stop using the services at any time.
19. Disclaimers
Our services are provided on an "as available" basis. Aylukha does not guarantee that every feature will always be available or that content supplied by users, event organisers or institutions will always be accurate.
These disclaimers are subject to applicable law, and nothing in these Terms excludes or limits any rights or remedies that cannot lawfully be excluded or limited under applicable law.
20. Limitation of liability
To the maximum extent permitted by applicable law, Aylukha will not be liable for indirect, incidental, consequential or special losses arising from use of the services.
Nothing in these Terms limits or excludes liability for fraud, wilful misconduct, or any liability that cannot lawfully be excluded or limited under applicable law.
21. Indemnity
Where permitted by applicable law, you may be responsible for losses caused by unlawful use of the services, infringement of third-party rights, or material violation of these Terms.
Any such responsibility is proportionate to the loss actually caused and is subject to applicable law.
22. Consumer and statutory rights
Nothing in these Terms is intended to remove any rights you may have under applicable consumer protection, privacy or other mandatory laws.
These Terms are interpreted consistently with applicable South African law, including mandatory statutory protections where relevant.
23. Governing law
These Terms are governed by the laws of the Republic of South Africa, subject to any mandatory laws that apply to you.
If a dispute arises, you should first raise it with Aylukha by contacting support@aylukha.com. Before court proceedings, the parties will attempt in good faith to resolve the dispute informally where appropriate.
24. Changes to these Terms
These Terms may be updated from time to time.
Material updates will carry a revised "Last updated" date and, where appropriate, may be notified through the service.
Continued use of the services after changes are published may constitute acceptance of the updated Terms where legally appropriate. Where explicit consent is required by law for a particular change, Aylukha will obtain that consent.
25. Severability
If any provision of these Terms is invalid or unenforceable, the remainder of the Terms will continue to apply to the extent permitted by law.
26. No waiver
Failure to enforce any provision of these Terms immediately does not necessarily waive the right to enforce it later.
27. Entire agreement and additional terms
These Terms, together with our Privacy Policy and any product, institutional, subscription or contractual terms applicable to you, form the relevant agreement concerning your use of the service.
Where a written enterprise or institutional agreement conflicts with general website terms, the specifically negotiated agreement governs to the extent of that conflict.
